Better event photographs start with a better brief.

Use this checklist before requesting a quote. It helps turn a busy agenda into a useful image library for attendees, sponsors, press and the next event.

Six decisions to make before the event.

  1. Business outcome: define what the photographs must support: press coverage, sponsor reporting, recruitment or next-year registration.
  2. Must-have moments: list the opening, key speakers, awards, VIPs and sponsor commitments. Include names and pronunciation notes.
  3. Coverage conflicts: highlight concurrent sessions. One photographer cannot cover two rooms at the same time.
  4. Delivery: identify any same-day selects, editing windows and the person who approves urgent images.
  5. Venue: confirm access, loading, parking, power, credentials and any insurance requirements before the date.
  6. Usage: identify who will use the images and where. Include sponsor sharing, paid campaigns and any restrictions in the proposal.

Choose the production scope, then the price.

Event coverage starts at $350 per hour with a two-hour minimum. Eight hours of coverage is $2,800; overtime, rush editing, additional staff and travel are quoted separately. A one-station headshot lounge starts at $2,750 for up to four operating hours or $4,500 for up to eight operating hours.

For concurrent coverage and a lounge, plan separate photographers. Headshot capacity is an estimate, not a guarantee: clothing changes, image review and breaks affect throughput.
